Avoid These Costly Mistakes When Planning Your Wedding in Italy (Before It's Too Late)

The ten most expensive mistakes international couples make when planning a destination wedding in Italy — and how to avoid every single one before you sign a venue contract.

Avoid These Costly Mistakes When Planning Your Wedding in Italy (Before It's Too Late)

Planning a destination wedding in Italy is exciting. Picture exchanging vows overlooking the rolling hills of Tuscany, the sparkling waters of Lake Como, or the dramatic cliffs of the Amalfi Coast.

But behind every breathtaking Italian wedding is months of careful planning — and unfortunately, many international couples make expensive mistakes before they even book their venue.

As destination wedding planners based in Italy, we've seen these challenges firsthand. The good news? They're all avoidable.

Here are the biggest mistakes couples make when planning their wedding in Italy — and how you can avoid them.

1. Falling in Love With a Venue Before Knowing the Real Cost

Many couples find a beautiful villa online and immediately assume it's within their budget.

What they don't realize is that the venue rental is only one part of the total investment.

Your final budget may also include:

  • Catering
  • Furniture rentals
  • Floral design
  • Entertainment
  • Photography and videography
  • Transportation
  • Accommodation
  • Lighting
  • Wedding planner fees
  • Local taxes and service charges

Most couples waste 40+ hours searching online for venues that are already booked or end up being over budget (even after booking it!). We flip the script. Many venues are stunning, but not all are equally suited to destination weddings, especially for international couples planning remotely.

Photos online and Instagram accounts rarely tell the full story: especially when it comes to logistics, guest experience, noise limits, accommodation flow, or weather realities. That's why in our Wedding Package builder we decided to provide live-visit pictures — just regular iPhone ones to give a real feel of the place without filters or fancy angles. As well as full in-depth information, restrictions, policies AND local reputation (and believe us, it says a lot!).

A villa that rents for €12,000 can easily become a €100,000 wedding once every detail is included, if you are not careful and don't consider hidden costs from the venue in advance.

Tip: Always estimate the full wedding budget — not just the venue fee.

2. Choosing Italy Before Choosing the Right Destination, and Choosing the Planner Before Choosing the Venue

A. Italy isn't one single wedding destination.

Every region offers a completely different experience.

  • Lake Como is elegant and luxurious.
  • Tuscany is romantic and surrounded by vineyards.
  • The Amalfi Coast is glamorous but logistically complex.
  • Puglia offers authentic masserie and relaxed luxury.
  • Sicily combines history, beaches and incredible food.

Choosing the wrong destination can lead to higher costs, travel challenges or a wedding style that doesn't match your vision.

B. Unless you have a well-trusted referral or direct experience with a wedding planner, our really unpopular opinion is not to book this type of service before choosing your venue. Why?

  • Because a lot of venues have their trusted ones. Unless you are planning a high-budget wedding (80k+) with multiple different locations, usually the most efficient way to go is with the planners that work for/with the venue or are suggested by them: they'll know everything about the place (and what to avoid), they usually live in the area, and you won't have to pay extra travel fees.
  • Because once you've chosen the location it's easier to find local planners that consequently know local vendors well — and will save you a lot as a result. Distances in Italy are perceived differently than in the U.S. or other countries: what you think might be close is usually in an entirely different region, and you'll have to pay extra travel fees.

3. Underestimating Guest Travel Logistics

Many couples focus on the wedding day and forget about their guests' experience.

Ask yourself:

  • Which airport is closest?
  • How long is the transfer?
  • Are taxis available?
  • Do guests need rental cars?
  • Is accommodation nearby?

A spectacular venue loses its appeal if guests spend four hours trying to reach it.

4. Assuming Every Venue Can Host a Legal Ceremony

Not every villa or historic property is licensed for civil weddings.

Some venues only allow:

  • Symbolic ceremonies
  • Religious ceremonies
  • Wedding receptions

Always verify what's legally possible before making a reservation.

5. Waiting Too Long to Book Your Dream Venue

Italy's most desirable wedding venues are often booked 12 to 24 months in advance.

This is especially true for:

  • May
  • June
  • September
  • Early October

If you already have a preferred date, don't wait.

6. Forgetting About the Italian Climate

Italy has incredibly diverse weather.

For example:

  • Tuscany can exceed 35°C in July.
  • The Amalfi Coast can be extremely humid.
  • Lake Como evenings may become surprisingly cool.
  • Venice experiences high humidity during summer.

Choosing the right season is just as important as choosing the right venue.

7. Believing Pinterest Photos Tell the Whole Story

Beautiful inspiration photos rarely show:

  • Nearby roads
  • Parking limitations
  • Guest access
  • Noise restrictions
  • Weather backup plans

Professional guidance helps you understand what a venue is really like — not just how it looks online.

8. Trying to Plan Everything From Abroad

Planning an Italian wedding remotely can be overwhelming.

You'll likely deal with:

  • Different time zones
  • Language barriers
  • Local regulations
  • Vendor coordination
  • Cultural differences

Having a trusted planner on the ground saves countless hours and avoids costly misunderstandings.

9. Ignoring Hidden Costs

One of the biggest surprises for destination couples is discovering unexpected expenses after booking.

These may include:

  • Vendor meals
  • Cleaning fees
  • Security deposits
  • Music licenses
  • Late-night staffing
  • Transportation surcharges
  • Overtime fees

Request a detailed proposal before signing any contract.

10. Choosing Price Over Experience

A wedding isn't just another event. It's one of the most important days of your life.

Choosing vendors based solely on the lowest quote often leads to unnecessary stress and disappointment.

Experience, communication and reliability are worth every euro.
